Your privacy is important to us. It is Kiki Music Collective's policy to respect your privacy regarding any information we may collect from you across our website, https://kikimusiccollective.co.uk, and other sites we own and operate.

This may include your computer's Internet Protocol (IP) address, your browser type and version, the pages you visit, the time and date of your visit, the time spent on each page, and other details.

  • Phone or mobile number

  • Payment information

Event Photography and Video

If you engage Kiki Music Collective to perform at your event, photographs and short video clips may be taken during the performance. These images may capture you and your guests. Please see Section 10 for full details of how we handle this, and how to opt out.

 

 

 

2. LEGAL BASES FOR PROCESSING

We will process your personal information lawfully, fairly and in a transparent manner. We collect and process information about you only where we have legal bases for doing so under UK data protection law.

 

These legal bases depend on the services you use and how you use them, meaning we collect and use your information only where:

 

  • it is necessary for the performance of a contract to which you are a party, or to take steps at your request before entering into such a contract (for example, when we provide entertainment services you have booked with us);

  • it satisfies a legitimate interest which is not overridden by your data protection interests, such as to market and promote our services, to maintain business records, and to protect our legal rights and interests;

  • you give us consent to do so for a specific purpose (for example, when you consent to us using event photographs for marketing purposes); or

  • we need to process your data to comply with a legal obligation.

 

Where you consent to our use of information about you for a specific purpose, you have the right to change your mind at any time (though this will not affect any processing that has already taken place).

Data Retention

We retain personal information only for as long as is necessary for the purpose for which it was collected. For client booking records, we retain information for six years from the date of your event, in line with our legal obligations under HMRC guidelines. After this period, your personal information is securely deleted. While we retain this information, we protect it within commercially acceptable means to prevent loss, theft, unauthorised access, disclosure, copying, use or modification. That said, no method of electronic transmission or storage is 100% secure and we cannot guarantee absolute data security.

 

 

 

3. COLLECTION AND USE OF INFORMATION

We may collect, hold, use and disclose information for the following purposes, and personal information will not be further processed in a manner that is incompatible with these purposes:

 

  • to enable us to provide the entertainment services you have booked with us and to communicate with you throughout the planning process;

  • for internal record keeping and administrative purposes;

  • to comply with our legal and financial obligations, including HMRC requirements;

  • for analytics, market research and business development, including to operate and improve our website, associated applications and associated social media platforms; and

  • to market and promote our services, including through the use of event photography and video, subject to the opt-out process described in Section 10.

 

 

 

4. TRANSFERS OF PERSONAL INFORMATION

The personal information we collect is stored and processed in the United Kingdom. Where we use third-party tools or platforms (for example, email or website services) that process data on our behalf, we ensure that any such providers offer appropriate data protection safeguards in line with UK data protection law.

 

Where personal information is transferred outside the United Kingdom, we ensure such transfers are protected by appropriate safeguards, such as adequacy regulations made under UK law, standard contractual clauses, or other legally accepted mechanisms. We will take reasonable steps to ensure that any overseas recipients handle your data in a manner consistent with UK data protection standards.

 

 

 

5. YOUR RIGHTS AND CONTROLLING YOUR PERSONAL INFORMATION

Choice and consent: By providing personal information to us, you consent to us collecting, holding, using and disclosing your personal information in accordance with this privacy policy. If you are under 16 years of age, you must have your parent or legal guardian's permission to provide personal information to us.

If you are providing personal information about someone else (for example, a venue coordinator's contact details), you confirm that you have the right to share that information with us.

 

Restrict: You may choose to restrict the collection or use of your personal information at any time by contacting us using the details below. Please note that restricting certain uses may affect our ability to deliver services to you.

 

Access and data portability: You may request a copy of the personal information we hold about you at any time. Where possible, we will provide this in a commonly used, machine-readable format. You may also request that we transfer your personal information to another party.

 

Correction: If you believe that any information we hold about you is inaccurate, incomplete or out of date, please contact us and we will take reasonable steps to correct it.

 

Erasure: You may request that we delete the personal information we hold about you. We will comply with any such request unless we are required to retain the data to comply with a legal obligation (such as our HMRC record-keeping requirements).

We will take reasonable steps to let users know about any significant changes via our website. 10. PHOTOGRAPHY AND VIDEO AT EVENTS

Kiki Music Collective may take photographs and short video clips during performances at client events. These images may be used on our website and social media channels for the purpose of promoting our services. This use is based on our legitimate interest in marketing our business.

 

Your right to opt out: You have the right to opt out of us using photographs or video from your event for marketing purposes at any time up to four weeks before your event date, by emailing us at info@kikimusiccollective.co.uk. If you opt out, we will not use images from your event for marketing purposes. Please note that images already published before we receive your opt-out request cannot be retroactively removed from third-party platforms.

 

Your guests: As the event host, you are responsible for informing your guests that a performer may be capturing content at your event. By confirming your booking with us, you confirm that you have the right to grant this permission on behalf of your event. Individual guests who do not wish to appear in any content should make themselves known to us on the day.

 

Children: We will not knowingly feature images of children prominently in any marketing materials without specific consent from a parent or guardian. If you are aware of any children attending your event whose parents or guardians would not consent to their appearance in any images, please let us know in advance.
